Terms of Service

By using this website or engaging XES Event Management ('XES', 'we', 'us') for event planning or production services, you agree to the terms set out below, alongside any specific service agreement signed for your event.

XES provides event design, planning and production services across corporate events, trade exhibitions, weddings, concerts, fashion shows, brand activations and related formats, either as full event management or as a standalone technical/production partner.

The specific scope, deliverables and pricing for any engagement are set out in a separate written proposal or service agreement, which takes precedence over the general terms on this page.

Bookings are confirmed upon signed agreement and receipt of the agreed advance payment. Balance payment schedules are specified in the individual service agreement for each event.

Prices quoted are specific to the scope, date and scale discussed and may vary if the brief changes materially after confirmation.

Cancellation and rescheduling terms, including any applicable fees for vendor commitments already made on your behalf, are set out in your individual service agreement and vary by event type and notice period.

Clients are responsible for providing accurate event requirements, timely approvals and access to venues as needed for planning and production. Delays in client-side approvals may affect delivery timelines.

XES is not liable for delays or inability to perform services due to circumstances beyond reasonable control, including extreme weather, government restrictions, venue unavailability or public health emergencies. We will work in good faith to reschedule or adapt affected events wherever possible.

Design concepts, stage designs, branding elements and creative material developed by XES for an event remain our intellectual property unless otherwise agreed in writing.

Photography and video captured at events we produce may be used in our portfolio and marketing materials as described in our Privacy Policy, unless restricted in writing as part of a client's service agreement.

XES's liability for any claim arising from an engagement is limited to the value of fees paid for that specific event, except where liability cannot be limited under applicable law.

These terms are governed by the laws of India, with courts in Thrissur, Kerala having jurisdiction over any disputes arising from an engagement, unless otherwise agreed in a specific service contract.

We may revise these terms from time to time. The version posted on this page at the time of your enquiry or booking will apply.
